Privacy notice

J Lashmar & Son uses the information you submit to respond to enquiries, prepare quotations and manage booking requests.

What we collect

Your name, contact details, optional company name, site location and job information. For operational jobs, we also store driver assignments, work and break times, fuel usage, travel, disposal records, uploaded photographs, receipt images and customer acknowledgement signatures. The office can prepare invoices from approved work records. Your ChatGPT account identifier links requests to your customer portal. Please avoid including unnecessary sensitive information or third-party personal details.

How it is used

We process enquiry and booking details to take steps towards a contract and manage agreed work. We use account information to provide access to your own requests. Booking records are stored in the website’s hosted database. Authorised office access is required to review all customer requests. This app does not send automated email notifications or take payment. If the office connects Xero and explicitly sends an approved invoice, the selected customer reference, invoice details, charges, job reference and tax mapping are shared with the selected Xero organisation. Xero access tokens are encrypted and kept server-side. Drivers only see assigned job sheets; the office reviews operational records and invoice drafts. A recent activity log records key office and job-sheet actions.

Retention and your rights

We keep information while needed for enquiries, work administration and applicable record-keeping obligations. You can request access, correction or deletion, or raise a privacy question, by emailing Jamie@jlashmarandson.co.uk. Some records may need to be retained to meet legal obligations. You may also raise a concern with the UK Information Commissioner’s Office.

Cookies and sign-in

This site uses the authentication and technical storage needed for sign-in and request management. The driver app saves unsynced drafts and pending signatures on the driver’s device to help with weak signal. Successfully synced drafts are removed from local storage. Use a personal device and discard local drafts before passing the device to someone else. Uploaded images and final submission require a connection. It does not include advertising or analytics trackers. ChatGPT sign-in is provided by OpenAI and is subject to its own privacy terms.
